Data deletion

How to request the erasure of the personal data SAKURA GROUP SRL holds about you, what is deleted, what must be kept, and within what time.

Who can ask

Anyone whose data we hold: the contact at a clinic or institute that sent an enquiry, a customer, a Sakurion Academy trainee, a job applicant or a correspondent.

How to ask

Send an email to info@sakurion.com with the subject line "Data deletion request", stating your name, your company or clinic and the email address you used with us. No other formality is required.

To protect your data, we check that the request really comes from you: in most cases, sending it from the email address we already know is enough. Failing that, we may ask you for one additional piece of evidence.

What is deleted

Your contact record and your enquiry in our database and our customer relationship management tool.

Our email exchanges with you.

Unaccepted quotations and commercial documents that did not lead to an order.

Your job application, where applicable.

What the law requires us to keep

If you have placed an order, certain documents cannot be erased before their statutory retention period expires: invoices, contracts and accounting records (seven years at minimum, ten years for certain tax obligations), together with the data strictly necessary to honour a current warranty or to defend a legal claim. That data is then placed under restricted access and used for that purpose only.

Timing

We acknowledge receipt within five working days and carry out the deletion within a maximum of thirty days from receipt of your request. If the request is particularly complex, that period may be extended by two months, and we inform you within the first month.

Once the deletion is complete, you receive written confirmation stating, where applicable, the data kept under a legal obligation and the date on which it will be erased.

Processors

The deletion is passed on to the providers that host your data on our behalf (hosting, database, customer relationship management, email), within the time limits set by their data processing agreements.

Recourse

If you believe your request has not been handled correctly, you may refer the matter to the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels — contact@apd-gba.be.
